Charlie Dyer, Director of Product at Topia, explains why almost every company now has a distributed workforce, from assignees to business travelers and remote workers. He covers the compliance risks of not knowing where people work, how to plan mobility technology, and why the employee experience matters. Vichalya Wijesuriya of PeoplesHR hosts.

WATCH THE RECORDING AND LEARN HOW TO

1. Track where every employee is working

2. Plan mobility technology that fits your process

3. Measure the experience of people on the move

Key takeaways

Watch from 04:16

You probably already have a distributed workforce. One international business trip or approved remote request is enough. Assignees, business travelers and people working outside their employment country each bring tax, immigration and labor-law risk.

Watch from 10:23

Could you say where everyone is working today? Leaders often ask with little notice. Data spread across HR systems, spreadsheets and unconnected tools means double entry, errors and no single source of truth.

Watch from 14:30

Fix the process before buying the tech. Agree goals with HR, tax, legal and employees, write lightweight processes and policies first, and choose technology that fits how you work and integrates with your other systems.

Watch from 19:37

Track KPIs and keep feedback loops. Measure outcomes such as employee satisfaction, and use analytics to forecast which roles and regions will need mobility support.

Watch from 22:41

Treat mobile employees like customers. Their experience is physical, cultural and digital. Ask about each one separately, through surveys, interviews or regional employee groups, so the feedback is accurate.

Watch from 29:52

People don't report where they work. 86% of HR professionals are confident employees report time worked in another state or country, yet only a third do. Nearly one in two HR professionals has found staff working where they should not be.

Q&A highlights

AI can answer employees' mobility questions directly, so mobility professionals don't have to answer every one. Charlie's roadmap at Topia includes AI to make the whole process more efficient.
Learn from peers in similar situations through forums, then focus on training and roll-out. Sell the benefit to each person: the new process will make their own work easier.
Charlie uses ChatGPT on a paid plan. Be careful about sharing company data with AI tools, and make sure it is not used to train their models.
Keep the solution as location-agnostic and lightweight as possible at first. For costs, Topia's tax engine calculates what a move such as UK to Singapore will cost based on salary and benefits.
